1. Give appointments in fixed slots
Instead of asking everyone to come “in the evening”, give each patient a time slot. Use your real average consultation time, for example 10 minutes for a general physician, and plan longer slots for new patients and procedures.
2. Leave buffer time for walk-ins and emergencies
Walk-ins and emergencies will always happen. Keep one or two slots free every hour so they do not push the whole day back.
Tip: If walk-ins are a large part of your OPD, keep a separate walk-in hour and tell patients about it.
3. Run one clear queue
Patients get anxious when they do not know when their turn will come. Keep one list at the front desk showing who is booked, who has arrived and who is next. When patients can see the order, they complain less.
4. Make registration fast
For returning patients, registration should take seconds: search by name or mobile number and the patient’s details are already there. New patients can be registered while they wait, not inside the consultation room.
5. Have the patient’s history ready
When the doctor can see past visits, allergies and the last prescription on screen, there is no time lost searching for files or asking the same questions again.
6. Bill without a second queue
Billing at a separate counter often creates a second queue. When the receptionist can bill as soon as the consultation is entered, and take cash, card or UPI, patients leave faster.
7. Plan follow-ups in advance
Set the follow-up date while writing the prescription. At the start of each day, check who is due and call or message them to book a slot. Planned follow-ups spread patients across the week instead of everyone coming on the same day.
